NOTES: If you are a U.S. Department of Energy Federal employee and wish to attend, please register online and select "DOE Federal Employee."

According to the approved conference package, all DOE contractor employees must register early and utilize the early bird registration rate.

All DOE Federal and contractor conference registrations will be pending, until approved by DOEs hosting office. The hosting office is DOEs Office of Small and Disadvantaged Business Utilization (OSDBU).

Registration Process

Forum attendees are strongly encouraged to pre-register for the event.

Onsite registrations and forum materials are subject to availability and cannot be guaranteed.

Forum registrations are confirmed when registrations and payments are received and processed.

Registrants will receive a registration confirmation email upon completion of the registration process.

Registration Fee

Your forum registration may cover several meal functions. If your travel is subject to the Federal Travel Regulation (FTR), you are required by law (Section 301-11.18 of the Federal Travel Regulations) to deduct from your daily meals and incidental expense (M&IE) per diem. Please refer to the GSA M&IE Rate Table for further information and guidance on how to deduct provided meals from your M&IE allowance.

Other organizations may have different rules that apply for their employees; please check with your organization for more assistance.

Payment Policy

Credit Card Payments:

The credit card will be charged immediately upon registration.

Payment for all registrations must be made in full prior to the forum.

Credit Cards (American Express, Visa, MasterCard) are the preferred form of payment.

Your credit card statement will reflect a charge from "SB Forum" for your forum registration fee.

Check Payments:

Please print your confirmation email and mail together with a check payable to "AetherQuest Solutions" to: AetherQuest Solutions, Inc.; Attn: DOE; 6400 Arlington Boulevard, Suite 850; Falls Church, VA 22042, USA.

Check payments must be received at the show management office no later than 10 business days after registering to honor the current registration rate.

Check payments must be received by May 18, 2018. If check payment for registration is not received by May 18, 2018, the registrant is required to pay onsite using a check or credit card. Please note: the onsite registration rate of $449 will be charged.

Cancellation, Refund, and No-show Policy

Once registered, registrants are accountable for the entire forum fee.

Full Forum Attendee registration fees may be refunded minus a $100 administration fee by March 30, 2018. Forum registration fees will not be refunded under any circumstances after the March 30, 2018 deadline. To request a refund please email on or before March 30, 2018.

Authorized substitutions will be accepted, free of charge, with prior approval by the Forum Team. Please email your substitution request to on or before April 30, 2018.

After this date substitution requests should be made onsite.

Forum Participation

Forum attendance/participation is limited to registered attendees who received an email confirmation and have a confirmation number for their registration.

Forum Program and Badges.

The Forum Program is subject to change.

Any changes to the Forum program will be posted to the forum website in a timely fashion.

Replacement of lost or stolen badges will be charged a non-refundable fee equal to half the value of the registration rate.

Personal Information

Forum attendance/participation is limited to registered attendees who received an email confirmation and have a confirmation number for their registration.

Participant contact information will be part of a database only accessible to the Forum Team and OSDBU.

Participant contact information will be published in a list of forum attendees distributed to Exhibitors and Supporters only.

To opt out of the post-forum attendee list distributed to Exhibitors and Supporters, please email by June 1, 2018.

Participant contact information will be used to circulate announcements of future DOE Small Business Forums.

None of the agencies/companies associated with the Forum coordination accept responsibility for damage to or loss of an attendee's personal property.

Photographs and Videotaping

Taking photographs or using video equipment during any session or at any Annual DOE Small Business Forum & Expo event is prohibited and violators will be removed from the premises. Only the official photographer will be authorized to take photographs.

The organizers reserve the right to use any videos recorded at the Annual DOE Small Business Forum & Expo for public viewing on the forum website.

The organizers reserve the right to use any photos taken at the Forum and/or Expo for use in forum materials, appearing either in printed documents or in related websites.

Hotel Reservation

You may make room reservations at the forum-negotiated rate of $137.00 /night plus applicable fees and taxes at the Westin Galleria Houston or the Westin Oaks Houston at the Galleria. Please mention when making the reservation or follow the links provided on the travel section of the event website.

The cut-off date to make hotel reservations at the negotiated forum rate is Thursday, April 26, 2018 at 5:00 PM CST

Please familiarize yourself with the policies at your selected hotel at the time of reservation. The Forum Team cannot be held responsible for room cancellation policies, check-in/check-out times, additional fees, etc.

Some suite upgrades may be available at a higher rate on a first-come, first-served basis and are not guaranteed until check-in. If you are interested in an upgrade, please check with your selected event hotel.
