In accordance with  the approved DOE conference package, all DOE contractor employees must utilize the early bird registration rate.

All DOE Federal and contractor conference registrations will be pending, until approved by DOE's hosting office. The hosting office is DOEs Office of Small and Disadvantaged Business Utilization (OSDBU).

Terms & Conditions of Registration

Registration Process

Expo attendees are strongly encouraged to pre-register for the event. Onsite registrations and expo materials are subject to availability and cannot be guaranteed.

Expo registrations are confirmed when registrations and payments are received and processed. Registrants will receive a registration confirmation email upon completion of the registration process.

All DOE Federal and contractor registrations will be on a "pending" status until approval received is from OSDBU.

Registration Fee

Your expo registration may cover several meal functions. If your travel is subject to the Federal Travel Regulation (FTR), you are required by law (Section 301-11.18 of the Federal Travel Regulations) to deduct from your daily meals and incidental expense (M&IE) per diem. Please refer to the GSA M&IE Rate Table for further information and guidance on how to deduct provided meals from your M&IE allowance.

Other Federal agencies and/or organizations may have different rules that apply for their employees; please check with your organization for more assistance.

Payment Policy

Credit Card Payments: The credit card will be charged immediately upon registration. Payment for all registrations must be made in full prior to the expo. Credit Cards (American Express, Visa, MasterCard) are the preferred form of payment. Your credit card statement will reflect a charge from “AQS Event Services“ for your expo registration fee.

Check Payments: Please print your confirmation email and mail together with a check payable to "AetherQuest Solutions" to: AetherQuest Solutions, Inc.; Attn: DOE 2019 New Mexico; 5501 Backlick Road, Suite 210, Springfield VA 22152.

Check payments must be received at the show management office no later than 10 business days after registering to honor the current registration rate.

All check payments must be received by July 31, 2019. If check payment for registration is not received by July 31, 2019, the registrant is required to pay onsite using a check or credit card. Please note: the onsite registration rate of $225 will be charged.

Cancellation, Refund, and No-show Policy

Once registered, registrants are accountable for the entire expo fee.

Expo Attendee registration fees may be refunded minus a $100 administration fee by July 19, 2019. Expo registration fees will not be refunded under any circumstances after the July 19, 2019 deadline. To request a refund please email on or before July 19, 2019.

Authorized substitutions will be accepted, free of charge, with prior approval by the Expo Team. Please email your substitution request to on or before August 2, 2019.

After this date substitution requests should be made onsite.

Expo Participation

Expo attendance/participation is limited to registered attendees who received an email confirmation and have a confirmation number for their registration.

Expo Program and Badges

The Expo Program is subject to change. Any changes to the Expo program will be posted to the expo website in a timely fashion. Replacement of lost or stolen badges will be charged a non-refundable fee equal to half the value of the registration rate.

Personal Information

None of the agencies/companies associated with the expo coordination accept responsibility for damage to or loss of an attendee's personal property.

Photographs and Videotaping

Taking photographs or using video equipment during any session or at any Expo event is prohibited and violators will be removed from the premises. Only the official photographer will be authorized to take photographs.

The organizers reserve the right to use any videos recorded at the Expo for public viewing on the expo website.

The organizers reserve the right to use any photos taken at the expo for use in expo materials, appearing either in printed documents or in related websites.

Hotel Reservation

You may make room reservations at the expo-negotiated rate of $94.00/night plus applicable fees and taxes at the Albuquerque Marriott. Please mention "DOE 2019 New Mexico” when making the reservation by phone or click here to view the travel section of the event website.

The cut-off date to make hotel reservations at the negotiated expo rate is Monday, July 22, 2019.

Please familiarize yourself with the policies at the hotel at the time of reservation. The Expo Team cannot be held responsible for room cancellation policies, check-in/check-out times, additional fees, etc.

Some suite upgrades may be available at a higher rate on a first-come, first-served basis and are not guaranteed until check-in. If you are interested in an upgrade, please check with the Albuquerque Marriott.
